PSG: "The process simplifiers": Make purchasing more dynamic with automated reporting

  • Success Story

From the tea bag for the canteen to the photo shoot in New York

Lohmar. Not far from Cologne Airport, a pioneer of electronic procurement has its headquarters: Procurement Services GmbH (PSG) awards around 180,000 operative purchasing services per year. The amount and complexity of the processes became a challenge for the 60-strong team: The monthly reporting demanded more and more time, important key positions were formally blocked by the flood of data. Now an innovative tool provides all key figures and reports fully automatically - every day.

The innovative solution from Simmeth System GmbH took only two months to become active and to permanently free up the blocked capacities. Every morning at seven o'clock the key figures report to the spot and light up as a traffic light signal. "Green" shows at first glance: Is and Soll agree.

Until then, the data from order intake to order to invoice had to be manually extracted from their various systems and had to be laboriously combined.

Before: The flood of data blocked resources

Sebastian Jung summarized, "The head of Controlling and Processes at PSG said:" It could not last, we were faced with the challenge of managing the multitude of " To bring data from the different systems into one shape. " And this for the procurement services of at least 200 customers.

Since 1991, PSG has been offering purchasing management and business process outsourcing for entire product groups with the operation of modern order platforms. "Whether C-parts such as nuts and bolts, tea bags for the canteen or a photo shoot in New York: Anyone who orders via our catalogs or uses our special procurement, simply receives everything that keeps the shop running," explains Jung.

"For our customers such as BASF, Deutsche Telekom, Infineon or the Dorma Group, we are the process simpler," says PSG, and that is exactly what they wanted to focus on in their own company: The goal: to make purchasing more dynamic by automating reporting. The solution came from the "KPI Monitor" from Simmeth.

Competence of the specialists: Find the relevant data

The software specialist from the Bavarian town of Burghausen works throughout the German-speaking world for municipal companies, medium-sized companies and well-known global players. The KPI-Monitor  - short for "Key Performance Indicator" - calculates daily the key figures for operational process control and visualizes them clearly with the "Report Generator", which automatically creates and distributes the reporting structure specified by the customer.

Andreas Schwarz, Senior IT Consultant at Simmeth System GmbH and Project Manager for the PSG, explains: "Our special competence is to continuously search for and find the relevant data from all systems" For example, sales results can also be displayed separately according to sales channels. "

Currently: Less effort - More information

With meaningful graphics, tables and traffic light symbols, the reports clearly show where something is going well or where there are problems. In the equally pragmatic and innovative software solution, all the information from the various systems converge seamlessly in the background to present the key figures on a daily basis.

"Thanks to automation, the processes are leaner and the reports more detailed, sources of error have been eliminated and capacities freed up," Jung says happily. "Specially for our requirements, the program also provides analysis options that can be adapted dynamically: We receive targeted information there to customers, product and product groups - and at any time at the touch of a button. "

The next step: "Passing on advantage to customers"

Now that the processes have been tested and the processes have been recorded, Lohmar thinks one step further. "We are currently considering passing on the new benefits directly to our customers," explains Jung. "For them, too, we could use the KPI-Monitor to conveniently prepare their respective key figures and make them available in an online cockpit will be offering it to customers later this year. "
